Job Description

The Branch Administrator is responsible for all branch administrative and support duties, serving as a liaison between Human Resources, Accounting, and Payroll. This role delivers timely and accurate reporting while ensuring strong follow-up, follow-through, and accountability across the branch particularly as it relates to billing, documentation, and accounting-related workflows. The successful candidate will hold team members accountable for deadlines, accuracy, and required information, ensuring all branch progress toward goals is tracked clearly, consistently, and on time. 

 

Responsibilities

Branch Support

  • Invoice all monthly recurring contracts and work orders for the branch in a timely and accurate manner
  • Report and manage Accounts Receivable for the branch, which may include Lien Waivers and Pay Apps
  • Manage end-to-end invoicing, including creation, tracking, and reconciliation within client vendor portals to ensure accuracy and timely submission
  • Construction billing (AIA Schedule of Values), Retainage, Prequalification’s, Insurance, and any other construction documentation
  • Coordinate renewal meetings with Business Developer (BD) and support teams
  • Assist the Branch Manager in tracking progress on branch budgets
  • Assist with time off requests and enter PTO on appropriate calendars
  • Select a day per week to arrive at the office early or stay late to assist with employee questions
  •  Provide general support to the branch in benefits and payroll, such as benefit password resets
  • Be a liaison and partner to HR
  • Manage and maintain end-of-month closing procedures
  • Generate reports to aid the Branch Manager during month-end

o EX: Revenue, Labor, and COGS

  • Set up opportunities for change orders, ensuring for accuracy
  • Set up new customer and ensure accurate information is provided
  • Manage and maintain customer lists
  • Assist with bilingual translation between frontline employees and other team members
  • Order office supplies as needed
  • Assist Branch Manager with team building events, i.e., lunches and outside activities
  • Create Accounts Receivable report monthly

 

Accounting Support

  • Create and manage purchase receipts for the support team and vendors
  • Process purchase receipts credits for vendors
  • Process customer credits
  • Aid Branch Manager with expense reporting (RAMP)

 

HR/Payroll Support 

  • Provide general support to the branch in benefits and payroll, such as benefit password resets
  • Turn in paperwork to HR for team members, including:

o Uniform acknowledgment forms

o Address changes

 

Additional Tasks

  • Perform other incidental and related duties as required
  • Additional responsibilities assigned by the corresponding Branch Manager

 

Requirements

  • Bachelor’s or Associate's degree preferred, or equivalent work experience required
  • Minimum 3 years of experience in an administrative role or customer service/ client experience
  • Must have a minimum of 2-3 years of experience with Microsoft Office 365 (Excel, Word, Outlook, SharePoint) with exceptional Excel skills
  • Construction billing experience strongly preferred
  • Bilingual in Spanish/English preferred
  • Experience with vendor portal and Aspire software preferred
