Field Administrative Assistant

Based in Kent, WA

Overview:

We are seeking a Field Administrative Assistant that is enthusiastic about actively taking care of all the details of planning of the logistics of an event, is excited to learn new skills, enjoys having a variety of disparate tasks from data entry to managing inventory to leading chants at an action and everything in-between. 

Primary Duties:

  • Provide logistical planning and support for member and internal events including votes, bargaining, pickets, special events, trainings, assemblies, celebrations, meetings, and other activities
  • Plan travel logistics including flights, hotels, per diem, and event registration for staff and members
  • Manage credit card including collection of all receipts, managing daily balance, monthly reconciliation, and submission to accounting
  • Work with vendors to support events within budgets and timelines
  • Order supplies and maintain inventory
  • Support member and staff programs by ordering, tracking, gathering, and assembly of support materials
  • Schedule internal meeting rooms

Additional Duties:

  • Formatting, website uploading and printing of contracts
  • Assembly and distribution of packets of printed materials
  • Respond to general voicemails, faxes, and email messages appropriately
  • Retrieve, distribute, and mail union mail and packages
  • Retrieve and return archive boxes, keep archives organized and orderly
  • Provide data entry and other clerical support as needed
  • Other duties as assigned

Job Qualifications

  • 2 years of customer service experience required
  • 1 year of office experience required
  • 2 years of experience planning event logistics and/or travel preferred
  • Excellent written and verbal communication skills
  • Willingness to take on new tasks and learn new programs
  • Proven ability to organize disparate information 
  • Troubleshooting, and problem-solving skills
  • Understanding of project management
  • Ability to handle multiple projects at once while maintaining calm
  • Dependable self-starter with low need for supervision
  • Repeatedly lift and move up to 25 pounds on a daily basis
  • Ability to work with people from diverse backgrounds/cultures
  • Car and valid license
  • Experience working for a progressive organization, labor union or campaign for progressive candidate or initiative preferred

Technical Skills:

  • Microsoft Office (will be tested): Intermediate Word, Excel, Outlook. Exposure to Teams and SharePoint
  • Experience using, maintaining, and learning various databases and software programs
  • Experience with UnionWare or VAN preferred

This is an office-based position in Kent, WA. There may be opportunities to work from home.

Compensation:
Competitive salary and excellent benefits as set by collective bargaining agreement. The hourly range is $31.80 – $43.25 hourly (depending on experience).
